General Information about Ecoballot online voting.

Contents

What is Ecoballot?

Ecoballot is an online voting tool designed primarily for schools. It allows schools and non-profit organizations to conduct paperless elections. Ecoballot’s goal is to help schools reduce their environmental impact. We recognize that printing paper election ballots (for student council, school board, yearbook, and senior superlatives, etc) is a source of wasted paper for many schools. School are looking for a green alternative that saves them time and money.

User Accounts

Each school assigns one person (the Ecoballot “client”) to be in charge of their account. This client signs up and pays for the service. Once registered and paid, the client can delegate other people (Ecoballot “sub-administrators”) to conduct various elections. This is important because the client is often a busy person, like the school principal or technology director, who doesn’t have time to manage elections. Creating a sub-administrator allows the client to delegate tasks to trusted people without having to share their password or credit card information. The client and/or the sub-administrator can create voter accounts so that all the voters at the school can sign in and vote. This is done through an easy, intuitive interface. Very little personally idenfiable information is collected in this process, and this information is not shared with third parties. See the Ecoballot privacy policy for more details about the way we collect and share information.

User's Age

Ecoballot clients must be legally able to agree to these terms and conditions. They may create accounts for sub-administrators or for voters. Only a minimal amount of personally identifiable information is collected about these users. Ecoballot is designed for school elections, so we recognize that children will often be using the Ecoballot software for voting. Ecoballot clients should not create accounts for users if those accounts will be in violation of local regulations, including online privacy laws or internal school network usage policies.

Payment

Ecoballot clients must be legally able to purchase the annual subscriptions through our payment gateway system (i.e., Amazon Payments). This payment gateway has its own separate terms and conditions, as well as privacy policy. You should read the Amazon Payments User Agreement (https://payments.amazon.com/sdui/sdui/about?useragreement) as well as the Amazon Payments Privacy Notice (https://payments.amazon.com/sdui/sdui/about?privacy)

The Ecoballot services are immediately activated upon successful processing of payment. This process is fully automated and shouldn’t take more than a few minutes.

What information is requested during account creation?

Ecoballot clients must provide the following information when registering their school or organization for an Ecoballot account:

  • First Name
  • Last Name
  • E-mail Address
  • Whether they would like only critical emails (like account activation notices, payment invoices, and updates to the privacy policy) or whether they would also like updates about new features of the Ecoballot software.
  • Username
  • Name of the school or organization
  • Timezone

Additionally, clients may choose to provide additional contact information, including their title, their telephone and fax numbers, and their website addresses. This information is not mandatory, but it helps Ecoballot contact the client schools in the event that there is a problem with the email or mailing address.

E-mail communication

Privacy is of utmost importance at Ecoballot. The information our clients supply during the registration process will not be released or publicly printed on the Internet. We will not nor do we have plans to sell personal information to third parties. We may on occasion contact users about new features or services that have been added to the Ecoballot software. For these kinds of mailings we provide an "opt-out" feature on a user's profile page. We do reserve the right to contact users for issues that relate to the security of the Ecoballot site or a user's individual account.

Aside from the username, all of a client’s profile information (first and last name, email address, school name and mailing address, timezone, opt-out status, etc) can be changed by a user at any time by signing in and visiting their profile page at http://ecoballot.com/editprofile.php.

Additionally, an Ecoballot client can change their password at any time by signing in and visiting the password change page at http://ecoballot.com/changepassword.php

What kind of identifying information is displayed on the web?

Ecoballot is not a social network. In general, no identifyable information is displayed publicly on the web. A client must be signed in to see their own personal information. Profile information is not displayed in a way that the general public or search engines will access.

The ballots that clients or sub-administrators create are displayed on the web. They require voters to authenticate (“sign in”) in order to see the information on the ballot. The number of voters, the strength of the passwords, and the information on the ballot are all up to the discretion of the Ecoballot client or their sub-administrators. Technically, this information is displayed on the web, but not publicly.

Media

Ecoballot clients and sub-administrators create and compose ballots for their voters to use. The purposes for these ballots may be to choose from a list of people running for an office, to choose a favorite design for a yearbook cover or t-shirt contest, or any other similar vote-based decision. To create these ballots, clients will upload information which may include text, images, and attachments such as Word or PDF documents. Ecoballot clients must take full responsibility for the copyright status of the materials they upload into the system.

How long will information stay on Ecoballot?

Client information, Ecoballot elections and election results will remain active on the site indefinitely as long as the client continues to pay his or her account on a regular (i.e, annual) basis. If an account subscription expires, Ecoballot will attempt to contact the client. Ecoballot reserves the right to put the account on suspension status while seeking payment, during which time the information will remain on the Ecoballot servers but be inaccessible to the client. If, after a reasonable amount of time, the account has not been paid, Ecoballot may, at their discretion, deactivate the account and delete the information.

Can I intentionally purge voting results, or delete elections?

Yes, if you need to get rid of voting results, simply choose purge results from the My Elections interface located at http://ecoballot.com/myelections.php

Some school policies dictate the voting results be kept securely for a certain amount of time, then fully deleted. Storing your results on Ecoballot, then purging them, will satisfy these requirements.
